Manager, Pharmacy Coordinators

We are currently recruiting a full-time Manager, Pharmacy Coordinators to support our Pharmacy Team.

Summary of Position:

Reporting to the VP, Pharmacy Services, the Manager of Pharmacy Coordinators will be responsible for providing operational and technical support to the Pharmacy Services Team in all phases of the sourcing initiative development and execution including implementation of the Pharmacy contracting process and ongoing maintenance of existing contracts.

The Pharmacy Coordinators Manager will work in collaboration with the Pharmacy Team to provide and execute short and long-term planning, support New Member onboarding process, sourcing initiatives, contract management and process standardization in NAV. The Manager will be responsible for supervising and supporting the Pharmacy Coordinators to ensure performance engagement and growth.

Specific Responsibilities:

Provide New Member Onboarding Services as required:

  • Supervise documentation process of all Members contracting needs to allow for more accurate compliance, discount collection and contract development

  • Manage and educate Members and Suppliers on systems, processes, and customer support needs

  • Ongoing engagement with the Membership to assist them with Mohawk Medbuy related queries

  • Support Director, Member Engagement with new Member development and orientation

  • Work collaboratively with the Business Development team to enhance cross functional operations of all divisions in support of a customer centric organization.

  • Manage and coordinate response to Member requests for assistance with the Member Portal

  • Participate in Spend Analytic Member meetings, as required

 Member Customer Service:

  • Provide accurate, timely, professional response to Member non-clinical inquiries/product issues

  • Provide support and manage relationships with assigned Members of the Pharmacy Buyers Subcommittee

  • Manage and coordinate response to Member requests for assistance with the Member Portal

  • First line management of Member issues submitted through electronic Issue Reporting tool or reported directly for investigation, resolution, and communication if within regulated pharmacy technician scope of practice.

  • First line management of contract price differential reimbursement requests if requested by Member, if within regulated pharmacy scope of practice.

  • Manage and coordinate response to Member requests for assistance with the Member Portal

  • Monitor and oversee Spend Analytic Member meetings

  • Oversee collection of Key Performance Indicator (KPI) data for Coordinator related KPIs

Sourcing Initiatives & Implementation:

  • Support planning and execution of sourcing initiatives with Pharmacy Director and team as required

  • Ensure and update process standardization in NAV

  • Monitor various sources of information related to contracted product safety concerns

  • Supervise Business Development activities including vendor meetings, as required

  • Monitor ongoing maintenance of assigned contracts in computer system and output implementation

  • Coordinate contract development process

  • Monitor public posting, consulting with Director as required

  • Manage product sample inventory

  • Participate in development of criteria and weighting

  • Coordinate and participate in internal and member analysis/scoring activities

  • Prepare new contracts in computer system and create contract documentation for contracts for assigned vendors

RFP’s/Contract Management:

  • Perform initial validation of new contract development in computer system and outputs for accuracy/system requirement fulfillment, as assigned

  • Monitor ongoing maintenance of assigned contracts in computer system and output documentation

  • Supervise and perform initial validation of contract changes in computer system and outputs for accuracy/system requirement fulfillment, as assigned

  • First line escalation to secure Contract/Amendment execution by vendor if delinquent

  • Provide accurate, timely, professional response to vendor non-clinical inquiries and participate in meetings with assigned vendors as required

  • Support and perform activities related to MITIGAID process

  • Monitor marketplace surveillance activities to identify changes impacting existing contracts, new competitive market entries and new product contracting opportunities

  • Provide supervision in monitoring various sources of information related to contracted product safety concerns

  • Participate in Business Development activities including vendor meetings, as required/assigned

Additional Responsibilities include:

  • Oversee daily operations of the Pharmacy Services Division, ensuring operational excellence is achieved in all its phases

  • Coach, mentor, motivate and supervise Pharmacy Coordinators and influence accountability for their work

  • Support orientation of new staff, Members and vendors

  • Liaise with other departments as required for ongoing revisions, development, implementation, and enhancement opportunities

  • Ensure the pharmacy operations are conducted in accordance with the Ontario College of Pharmacists regulations and the National Association of Pharmacy Regulatory Authorities (NAPRA) standards

  • Communicate user account administration requirements and develop/maintain group distribution lists.

Education:

  • Ontario College of Pharmacists (OCP) registration

  • 3 to 5 years’ experience as a hospital Pharmacy Technician

 Qualifications:

  • Proficient communication skills, written, oral, and electronic

  • Effective personal organizational/time management skills

  • Strong knowledge of hospital pharmacy management practice and associated regulatory environment

  • Demonstrated understanding of industry as well as pharmacy practice requirements and changing competitive scope of pharmacy management nationally

  • General knowledge of the Canadian healthcare system and associated regulatory organizations

  • Strong interpersonal and people management skills; ability to motivate a team

  • Demonstrated skills in relationship building and influencing to achieve results
